What is the policy concerning drug testing?The complete Drug Free Workplace policy can be found in the “Storage – Employee Manuals” section of Fire Manager. Click the .pdf document and the policy is located on PP. 52 – 56 of the current revision of the policy manual.

I have damaged a WRTFD Vehicle. What is the process I need to follow?First, your immediate Supervisor needs to be notified either Company Officer, On-Duty BC or your Staff Chief. Then you must log on to the Fire Manager System and file an Incident Report. This will be located under the “Forms” menu from the main screen. From there, use your mouse and drill down to 3 – Incident Report” and fill out the appropriate information.

I need EMS hours. Those are all the current A&R’s you can get credit for.

If you need help filling the form out, refer to your Company Officer.

If I sustain an on-duty injury, what is the process I need to follow?"If you sustain an on-duty injury, your Company Officer needs to be made aware immediately and he/she will contact the Battalion Chief. You will then need to log into Fire Manager with your account and click on “Forms – 3 Incident Report”. This needs to be done by law within 48 hours from the time of the incident so Workman’s Compensation will cover the injury. The rest of the process will be explained to you as needed.

I am dealing with an issue in my personal life and could benefit from seeking professional advice. Where can I go to get the help I need?The WRTFD provides the Employee Assistance Program (EAP) provided by Franciscan Network. EAP is there for you if you need help with any issue including spousal, personal mental health issues…etc. You can find all the information on the Fire Manager System by logging in and clicking “Storage – Employee Benefits – EAP”. All you need to do if look at any of the documents, make the phone call and show up. The Fire Chief DOES NOT receive any information about you or anyone in your family if you are attending EAP. The Department only receives the number of individuals who are using the program. Please do not be afraid of getting help for any issue that may creep up in your life.

If I need to fill out a form for equipment/vehicle repair, where do I find that form?"You can log into the Fire Manager System and click on “Forms” and in that list, you will see separate forms for Equipment and Apparatus issues by station. Make sure you choose the correct form and the correct station. The form once submitted will be sent via email to the appropriate Station Captain for review before sending it to Chief Skipper. This way assists Chief Skipper in “weeding out” duplicate entries for the same problem.

How much vacation time do I have, or do I receive every year?"You can contact your immediate supervisor, or you can find this information from the Fire Manager System. Point your mouse to “Members” from the Main Menu and then drill down to “My Info”. Once there, all your benefit time is listed along with a history of time used right there at your fingertips.

What is the process for reporting an issue with my specific computer or Spillman?You need to contact your immediate supervisor, so they can file a trouble ticket with Indy TeleData to get the problem rectified. This ticket, when it gets submitted, will alert both Indy TeleData and Chief Arany. If he feels it is an emergency, he may call Indy TeleData directly to get the problem rectified.

If I want to trade a shift, where can I find contact information for other employees I can trade with?"Individual members can log into their individual Fire Manager account and open the “Member Database” to get contact information for individual members.

Is there an online form to submit for a trade shift?The Shift Trade Record online form in located in the Fire Manager system under “Forms – Shift Trade Record” Click that link and fill out the appropriate information. Once you submit that information, the next person will be able to click on their portion and sign it then it will be submitted to the Battalion Chief.

Where can I find information on my training certifications?If you want information on your WRTFD training file, please contact your Company Officer and he can print you an updated copy of the training(s) you have attended. If you need your Indiana certifications, you can log into https://oas.dhs.in.gov/dfbs/ems/person.do?method=personLookup **You must have a Last Name and PSID number.**

What can I do to make the WRTFD better for the next generation?WRTFD has been a Department that relies on everyone to participate in special events and details since the Department was formed in 1952. We still need this to happen in 2018. We could not be where we are 66 years later without you. Please don’t lose that vision the men & women who have gone before us had. Contact any Company Officer, Battalion Chief or Staff Chief with any ideas you may have or to volunteer for any details/special events. Remember, it is not about how much money someone gives you for doing extra work, it is how much someone gets out of you for doing that extra work. Thanks for your help in advance.

If I see something that violates policy, how should I handle the situation?"If you see a Policy Manual Violation, depending on the situation as each situation warrants a different approach, you can approach the individual and have a discussion with them to advise them of the Policy Manual Violation. However, if that does not work or the violation requires another step, then you need to have a meeting with your Company Officer and turn the information over to them, so they can take the proper steps to correct the problem. Any problem left uncorrected could become a bigger problem. Take care of it as soon as practicable.
